Introduction

The following terms and conditions govern your use of the One Tournament CIC platform:

  2. The booking terms and conditions for tournament entries.

  3. Package bookings which include tours, accommodation, and experiences booked via the Site.

The Site is owned and operated by One Tournament CIC (“we”, “our”, “us”).

1. Website Terms and Conditions

By using our Site, you accept these Terms. If you do not agree to them, you must not use our Site.

  • Our Privacy Policy also applies to your use of the Site.

  • We may update or amend these Terms or our Site at any time without prior notice.

  • All intellectual property rights on our Site are owned or licensed by us. You may not reproduce, copy, or redistribute any content without permission.

  • The content provided is for general information purposes and should not be relied upon as professional advice.

  • We are not responsible for websites linked from our Site.

2. One Tournament CIC as an Agent / Marketplace

  • One Tournament CIC acts as an agent and marketplace for independent third-party tournament organisers (the “Vendors”).

  • Current Vendors include (but are not limited to): Vendor A, Vendor B, and Vendor C.

  • Each Vendor is solely responsible for the organisation, management, and delivery of its tournaments.

  • When you make a booking through our platform, your contract for participation is with the Vendor, not with One Tournament CIC.

  • We facilitate bookings and process payments through Stripe, retaining a service fee/commission. The balance of funds is remitted to the Vendor who operates the event.

3. VAT and Taxes

  • One Tournament CIC charges VAT only on our commission or service fees where applicable.

  • Vendors are responsible for accounting for VAT or other local taxes on their tournament entry fees, accommodation, and related services.

  • Vendors who are not VAT-registered do not charge VAT; those who are VAT-registered must comply with UK VAT laws and HMRC guidance.

  • For international bookings, additional taxes or import duties may apply and are the responsibility of the travelling team or Vendor.

4. Tournament Booking Terms

  • Tournament bookings must be made via our official Site.

  • Confirmation is only valid once full payment is received and processed through Stripe.

  • Each tournament may have specific rules or entry conditions set by the Vendor, which form part of your agreement.

  • Refunds and cancellations are governed by the Vendor’s refund policy, which will be communicated at the time of booking.

  • One Tournament CIC will assist in facilitating communication, but cannot authorise or issue refunds on behalf of the Vendor.

Insurance & Safety

  • Vendors must maintain appropriate public liability insurance and ensure compliance with FA safeguarding standards.

  • One Tournament CIC carries its own business insurance but is not responsible for operational or on-site liabilities related to Vendor-run tournaments.

5. Accommodation & Package Bookings

  • When you book accommodation, meals, or tour packages via the Site, One Tournament CIC acts as an agent on behalf of the relevant Vendor or service provider.

  • The Vendor or service provider is responsible for all aspects of delivery, including accommodation, catering, and hospitality arrangements.

  • The contract for accommodation, food packages, or tour experiences is between you and the Vendor, not One Tournament CIC.

  • One Tournament CIC’s role is limited to facilitating the booking and processing payments through our Stripe platform.

Applicable Supplier Terms

  • In some cases, accommodation may be arranged through approved providers such as Warwick University Training Limited (Warwick Conferences) or equivalent hotels and venues used by our Vendors.

  • Where this applies, the terms and conditions of that accommodation provider will also apply to your stay and take precedence over any conflicting provisions here.

  • All participants and guests must comply with the accommodation provider’s health and safety rules, check-in/check-out policies, and behaviour codes.

Payment and VAT

  • The total price of your package will be displayed at checkout.

  • VAT will be charged where applicable, depending on the Vendor’s VAT registration status and the services included in your booking.

  • One Tournament CIC charges VAT only on our agency commission; the Vendor is responsible for VAT on the remainder of the package price where applicable.

Amendments, Cancellations, and Refunds

  • Any changes or cancellations to your accommodation or package booking are subject to the Vendor’s policy and the accommodation provider’s terms.

  • One Tournament CIC will assist in facilitating communications between you and the Vendor but cannot authorise refunds or amendments on behalf of the Vendor.

  • Refunds (if approved) will be processed via Stripe to the original payment method, subject to applicable processing fees.

Responsibility of Vendors and Guests

  • Vendors are responsible for ensuring that accommodation allocations and meal plans are correctly managed.

  • Guests are responsible for any damage to accommodation, loss of keys, or breaches of hotel or venue rules.

  • One Tournament CIC is not liable for the failure of third-party suppliers or any act, omission, or default by the accommodation provider.

6. Liability

  • Vendors are solely responsible for the safe delivery of their tournaments, including safeguarding, referees, facilities, and compliance with FA and local regulations.

  • One Tournament CIC is not liable for:

    • injuries, losses, or damages occurring at Vendor tournaments,

    • postponements, cancellations, or changes made by Vendors,

    • any act or omission by third-party suppliers or accommodation providers.

  • Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud, or any liability which cannot be excluded under UK law.

7. International Teams

  • Teams travelling from outside the UK are responsible for their own visas, travel documents, and compliance with entry requirements.

  • One Tournament CIC and Vendors may issue invitation letters to support visa applications but cannot guarantee approval.

  • Teams are advised to take out appropriate travel insurance covering medical expenses, cancellation, and personal belongings.

8. Data Protection & Privacy

  • One Tournament CIC complies with the UK GDPR and Data Protection Act 2018.

  • We collect and process data necessary to manage bookings and payments.

  • Payment information is securely processed through Stripe and is never stored by us.

9. Governing Law & Jurisdiction

  • These Terms are governed by the laws of England & Wales.

  • Any disputes shall be subject to the exclusive jurisdiction of the courts of England & Wales.

  • Residents of Scotland or Northern Ireland may bring proceedings in their local courts.
